Document Management Software
Tracking documents from delivery through payment is a critical component of success in the periodical distribution industry. Computac’s Document Management system ensures that documents are tracked successfully through every step of the cycle.
The system is built around several key components: system print options that allow a unique barcode to be printed on the invoice, a Document Retrieval archive which allows every document produced on the system to be stored electronically, and scanning software that allows the quick and easy capture of invoice barcode information.
- After the delivery of the product, the Route Driver scans the barcodes of the signed invoices into the system. If a single item is missing, the driver will be prompted so that action can be taken immediately to correct the problem.
- Invoice barcode information that is scanned in by the Route Driver sets a flag in the Document Retrieval System that indicates that the invoice was delivered and signed.
- The Document Imaging System then comes into play. A print image of the delivery document is created. This record identifies each image by its unique key (reference number) and by its creation date (the date/time it was scanned and the date/time it was indexed). The customer number is also included as part of the record.
Proof of delivery is available with the touch of a PF key. There’s nothing quite so convincing to a retailer as a print image of the signed invoice itself. A complete archive of Proof of Delivery (POD) is at the wholesaler’s fingertips. Computac has also pioneered a Web version of Document Management which allows the image archive to be accessed over the Internet.
